How do I set up automatic clock-out with an incident when an employee forgets to clock out?
To set up automatic clock-out with an incident, enable the automation in Configuration and choose when you want Sesame to close a clock-in that was left open. Each automatic clock-out generates an incident that you can review and correct.
Enable the automation
- Go to Configuration >> Automations >> Clock ins/outs.
- Open the configuration you want to edit.
- In the Incidents section, enable the toggle "Generate an incident when an automatic clock-out occurs if the employee forgets to clock out".
- Choose when the clock-in is closed (see the next section).
- Choose whether to notify the person by email, by in-app notification or through both channels.
- Save the changes.
Choose when the clock-in is closed
Option 1 - At a specific time
If the person is still clocked in at the time you set, Sesame closes the clock-in and generates the incident. Select the time, for example, your office closing time.
Option 2 - When they exceed their working time for the day
If the person is still clocked in a set number of minutes after their working time, Sesame closes the clock-in and generates the incident.
Set it up as follows:
- Enter the buffer in minutes. You can enter between 1 and 720 minutes.
- Choose what the minutes are calculated from: the person's workday, schedule or contract.
For example, if a person's schedule ends at 17:00 and you enter 120 minutes, the clock-in closes at 19:00 and the incident is generated.
Additional options
- Block the employee from clocking in when the automatic clock-out occurs. The person won't be able to clock in again until they submit a clock-in request.
- Allow employees to manage the notification themselves. Each person decides whether they want to receive the incident notice.
Key points
- Clock-out based on working time only applies on days when the person has a schedule or theoretical hours assigned.
- This option can't be active at the same time as "clock out when the schedule is completed". When you enable one, the other is disabled and you'll see a message explaining this.
- If you switch from "specific time" to "exceeds their working time", the fixed-time clock-out that was already scheduled is cancelled.
