How do I assign a course by department, workplace, group, or job position?

With the "Selected audience" visibility option, you can define which departments, workplaces, groups, or job positions will have access to a course. The LMS will automatically keep this audience in sync with changes in your company's structure: when someone joins one of the selected entities, the course will appear in their catalogue; if they leave it, they will stop seeing it.
 

 

Before you start

Make sure the departments, workplaces, groups, or job positions you want to use as an audience are already created in Sesame. You must also have administrator access over those entities, as the selector will only show those that fall within your access scope.

 

Steps to configure a dynamic audience

  1. Go to Courses, open the course you want to configure, and access its Configuration.
  2. In the "Visibility" section, select the "Selected audience" option. When you do, the "Configure audience" button will be enabled.
  3. Select "The entire company" if the course should be available to all employees, or define the audience using one or more of the following criteria:
  • Workplaces
  • Departments
  • Groups
  • Job positions
  1. At the bottom, you'll be able to see how many employees are part of the defined audience.
  2. (Optional) In the Individual >> By employees section, click "Manage employees" to add specific people who need access to the course, even if they don't belong to the selected entities.
  3. When you've finished the configuration, click Save.
     

 

If you select entities from more than one category (for example, a workplace and a department), the course will only be assigned to employees who meet all the conditions at the same time.

 

 

Please note

If an employee leaves one of the entities included in the audience, they will stop seeing the course in their catalogue. However, they will not lose their progress or their certificate, if they had already completed the training.

You can check their status in the Enrolments tab, where they will appear identified as "Not active" in the audience.
