What happens when an employee clocks in or out outside the workplace?
When an employee clocks in or out outside their workplace radius, Sesame directly generates a clock in/out request so the person responsible can approve or reject it. No intermediate incident is generated any more.
How it works
- The employee clocks in or out from the Sesame app while outside their workplace radius.
- Sesame lets them know they are outside the workplace and allows them to submit a clock in/out request.
- The request goes to the person responsible for validating clock ins/outs. If there are several validators, it will go through each one in the configured order.
- The validator approves or rejects the request. If approved, the clock in/out is saved. If rejected, the clock in/out is cancelled, and the employee receives a notification.
Where to manage it
Step 1 – Go to the Requests
Go to Inbox >> Clock ins/outs.
Step 2 – Review and decide
- Find the request with the “Pending” status.
- Review the date, time, and clock in/out type.
- Click “Approve” or “Reject”.
Clock in/out requests made outside the workplace do not go through the Incidents section. They are managed in the same way as all other clock in/out requests.
Important points
-
Location access. If the employee has not allowed location access in the app, Sesame cannot tell where they are, and they will be able to clock in or out as normal, without location information.
-
First validator. The request appears under “My tasks” for the first validator and under “Other tasks” or “All tasks” for the following validators.
- Clock ins/outs from the web panel. The web panel does not block clock ins/outs based on location. The request is only generated when clocking in or out from the app.
