What are document templates?

In the Document templates section of the Document manager, you’ll find a very useful tool whenever you need to send personalized documents in bulk to your employees, automatically filled with their data.

Documents >> Document templates >> Create template.
 

Create a template from a PDF

 

Upload a PDF with form fields and fill them in directly with employee data, manually or automatically from Sesame. You can include text fields, checkboxes, or drop-down boxes. You will have the option for the employee to fill in the empty fields that you have left once they receive the documentation. 

Once you have ready your template, click on Create template. 
 

 

View all your templates

 

From a single view, access the list of templates you’ve created. You can see the name, who created it, the creation date, the last editor, and the date of the last edit. You’ll also have quick access to edit, delete, or send the template.

 

Sending templates

 

Click Upload documents to upload your template to the general folders in the Document manager.

Select the employees you want to send it to. If you enable Assign to the entire company, you can send it in bulk.

Before uploading any document, make sure you’ve already created the folder where it will be stored.

 

Sending templates for electronic signature

 

Send your templates in bulk so they can be digitally signed. This option only applies to templates in PDF format that are stored in the Labour documents folder.
 

 

Create templates from scratch

 

Use the text editor to create fully customised templates tailored to your needs.

You can store them to reuse later, edit them, or delete them whenever you need.

 

Create documents with form fields from scratch

 

If you work with flat PDFs, you can create the form fields yourself so employees can complete them.

Available field types:

  • Text field: allows users to type freely within the assigned space.
  • Checkbox: to select options.
  • Dropdown: to choose from different options.
     


Once the template has been created, you can send it to the Document manager folder of your choice so your employees can access the document.

When it’s sent to a specific employee, the fields are automatically filled in with the information stored in Sesame. They can then sign the document, and you can edit or delete the template at any time.
