Before you start using People Analytics
Before you start using People Analytics, it's important to understand some key concepts.
Employee statuses
Knowing what each employee status means is essential for understanding which data is collected and included in each chart.
An employee can have 3 statuses:
- Active. The employee currently works at the company and is registered in the system. To see which employees are active, go to the "Employees" section.
-
Disabled/Inactive. The employee no longer works at the company, or is temporarily inactive (on leave or suspension). Their data is still stored in the system.
To see which employees are disabled:
- Go to the "Employees" section.
- Look for the filters in the top right-hand corner.
- In the filters, find "Visibility" and select "Show disabled".
-
Deleted. The employee is no longer part of the company, and their profile has been permanently removed from the system.
How do I deactivate an employee?
- Option 1: Employee profile >> Contracts >> Actions >> Deactivate employee. From here, you can end an employee's contract, select the end date, and choose the type of leave if needed.
- Option 2: Employee profile >> Contracts >> Actions >> Edit. From here, you can deactivate an employee by simply specifying the end date of their contract (the type of leave cannot be selected using this option).
Contract statuses
Knowing what each contract status means is essential for understanding which data is collected and included in each chart.
A contract can have 4 statuses:
- Future. The contract is scheduled but has not yet started.
- Current. The contract is active, and the employee is currently working.
- Expired. The contract has ended (the employee has been deactivated) and is therefore no longer valid.
-
Deleted. The contract has been permanently removed from the system.
To check the status of a contract:
- Go to the "Employees" section.
- Open an employee's profile.
- Go to the "Contracts" section.
- Once inside, click "View history".
From here, you can see which statuses a contract has gone through and its current state.
If you want to see the historical progression of your team, make sure to also filter by dates prior to the current date. This way, employees who are no longer on payroll will appear in the charts.
Filters, your way to customize the view
To customize the charts, go to People Analytics >> [Section]. You can filter by:
- Company, Workplace, Department, and Group. Make sure the employees you're interested in are included in one of these groupings so that their data is reflected in the charts.
- Period. Here you can select the time period from which you want to extract data. If no specific period is selected, the system will show the last 12 months by default.
