What information is shown in payroll tables?

Once you have installed Payrolls, you will have access to multiple tables where all salary-related data and all information impacting your employees' payroll is organised and managed.

 

Hires and terminations

 

In the Hires >> New users section you can add contracts for new employees you’ve created in Sesame.

Here, you can:

  • Create a new contract for an employee by selecting "Add contract".
  • Choose an existing contract as the current one by selecting "Add contract".
  • Access the employee’s profile directly by clicking on their name.
  • Search for employees by name.
  • Control accesses using the key icon on the right.
     

In Hires >> Hires, new employees appear once you assign their first contract. In the period matching their start date, the Type of hire column displays New contract.

In this space, you can:

  • Access the employee’s profile directly from their name.
  • Filter by workplace, department, lead recruiter, and contract start date.
  • Search for employees by name.
  • Manage accesses using the key icon.
  • Validate data.
  • Review the validation history.
  • Add comments to hires.
  • View a summary of all relevant data.
     

In the Terminations >> Upcoming section, you can view employees whose contracts are ending soon.

Here, you can:

  • Review upcoming terminations.
  • Filter by workplace and department.
  • Search for employees.
  • Control accesses.
  • Add a new contract.
  • Terminate an employee, which will move them to the "Leaves" sub-table.
     

In Terminations >> Leaves, you’ll find employees whose terminations have been set up, either from the "Upcoming" section or from the "Contracts" section.

In this area, you can:

  • View dates.
  • Filter by workplace and department.
  • Filter by termination type: voluntary or involuntary.
  • Search for employees.
  • Manage access permissions using the key icon.
  • Validate data.
  • Review validation history.
  • Add comments.


 

Payroll preparation

 

In the Payroll preparation >> Payroll preparation table, you’ll find a detailed summary of each employee's payroll-related data.

This table is informational and is populated with data from employees previously set up in Sesame. It can be configured to make it easy to edit, view, and add salary supplements in an organised way.

Using the settings icon on the right, you can choose the type of data shown in payroll preparation.

In Payroll preparation >> Salary supplements, you’ll find a summary of all supplements assigned to your employees. They need to be set up from the employee’s profile or under Settings >> General Supplements in Sesame. They include variable or fixed salary supplements.

You can also create additional supplements here, which will appear added to the payroll preparation table.

 

Salary raise

 

This table lists all employees who have received a salary raise in the selected month.

 

Temporary incapacity and absenteeism

 

In this table, you will find all employees with unexcused absences or sick leave. Administrators can review this information to apply deductions to payroll.

In this table, administrators can:

  • Validate unexcused absences or sick leaves and make changes.
  • Filter by type.
  • Filter by workplace and department.
  • Search for an employee.
  • Review dates.

 

Advances and garnishments

 

This table shows any amounts advanced by the company to employees or those unpaid for any reason. You can add a new advance/garnishment from this section using the "Create" button and assign it to an employee.

 

Flexible remuneration

 

In this table, employees receiving part of their salary as flexible benefits (e.g., health insurance, childcare, meals, transportation, language classes) are shown. Data can be imported automatically if providers are Flexo/Cobee, or manually.

In this table, you can:

  • Import data.
  • Filter by provider.
  • Filter by location or department.
  • Search for employees.
  • Create new providers.
  • Display exempt values.
  • Filter by date.
  • Validate data.
  • Review history.
  • Add comments.

 

Benefits

 

This table includes the benefits the company provides to employees, affecting payroll, making it useful to view them here. Please remember to create and assign benefits to employees via General Settings >> Benefits >> Create Benefit.

You can create these types of benefits:

  • Co-pay: shared between the employee and the company.
  • Employee: paid by the employee.
  • Services: service paid by the company.

You can choose to include start and end dates for benefits using the calendar icon.

 

Supplements and variables

 

This table displays fixed and variable supplements employees receive during the set period.

You can validate all salary supplements and download them if you need to share this information with other platforms.

In this table, you can:

  • Validate supplements.
  • Assign codes to supplements.
  • Filter by supplement status.
  • Add filters for workplace and department.
  • View disabled users.
  • Search for employees.
  • Filter by type of supplement.
  • Filter by frequency.
  • Manage access.
  • Download data.
  • Validate data.
  • Review validation history.
  • Add comments.
