Can I automatically delete an access code when an employee is deactivated?
From the Automations section, you can define what the system should do with an employee’s identification code when they are deactivated. This setting is key if you want to reuse access codes in the future within the same company group or, on the contrary, keep them blocked.
To configure it, go to: Configuration >> Automations >> User accesses and locate the option: Remove access code when deactivating an employee.
With this setting, you can:
- Delete the code and archive it in the history
- When a user is deactivated, the system deletes their current access code and stores it as a previous access code.
- If you later rehire the same employee in another company within the group (and their ID number matches), Sesame will assign them a new default code but will detect that the employee already existed within the company group.
- In the employee profile under Access >> Tablet access, you’ll see a notice indicating: Previous access code: [number]. This way, if you want to keep consistency, you can simply copy that value and change it manually.
- Keep the code unchanged
- The access code will remain assigned and blocked for that employee even after deactivation, meaning no other person will be able to use it.
For security reasons, the system will never automatically reassign the old code. It will always be shown as a suggestion so you can decide whether or not to reuse it.
