How do I compensate an employee's overtime balance?

When compensating overtime, you decide what to do with the hours an employee has accumulated in excess (or in deficit) in their time balance.

You can start the compensation from three different places:

  • Go to Time management >> Compensation, find the employee you want to manage in the table, and click the "Compensate" button available at the end of the row.

  • Go to Time management >> Compensation, find the employee you want to manage in the table, and click their name. In the side panel, where you have the time statistics, rule details, and history, select "Settle balance".

  • Go to Employees >> Employee profile >> Statistics and click "Settle balance".

If you want to apply the same action to several employees at once, select their checkboxes in the main table and carry out a bulk compensation.

Next, choose how you want to manage the balance; the options you see depend on the type of policy you have configured:

  • If you have configured a hybrid policy, you will see four options: Time off, Pay, Manual adjustment, and Transfer overtime (the latter only if you view positive and negative overtime separately).
  • If you have configured a time-off policy, you will see Time off and Manual adjustment.
  • If you have configured a pay policy, you will see Pay and Manual adjustment.

If the employee has no accumulated balance or has not recorded time assigned to multiplier/categorization rules in the period, the Time off and Pay options will appear disabled.

If you choose "Time off" 💆

  1. Select the balance origin you want to manage: total available, multiplier rules, or categorization rules.
  2. Indicate whether you want to compensate 100% of the available time or a smaller amount.
  3. Select the absence type to which the employee will receive the hours so they can request them from the Time off section (for example, Overtime balance, Travel, etc.) using the "Send to hours compensation time off" drop-down.
  4. Review the data on the "Summary" screen and click "Save". The balance will be updated instantly, and the action will be recorded in the history.

If you choose "Pay" 💸

  1. Select the balance origin you want to manage: total available, multiplier rules, or categorization rules.
  2. Select the total available or the number of hours you want to settle.
  3. Specify the period in which the pay will be settled and the payslip concept in which it will be reflected (for example: Overtime hours, Travel).
  4. Check the data in the "Summary" preview and click "Save". The balance will be updated instantly, and the action will be recorded in the history.

If you choose "Manual adjustment" 🤳

  1. Select how many hours you want to adjust. If you have chosen to view the positive and negative balance separately, you can choose which of the two you are adjusting.
  2. Review the information on the "Summary" screen and click "Save". The balance will be updated instantly, and the action will be recorded in the history.

Manual adjustment is always available, regardless of the status of the balance. You can add or deduct hours to correct, for example, arrangements agreed in person, errors, or balance settlements before specific periods.

If you choose "Transfer overtime" 🔁

  1. Choose the direction of the transfer: from Time off to Pay, or vice versa.
  2. Define the number of hours to transfer between balances.
  3. Check that everything is correct before continuing. When you are ready, click "Save". The balance will be updated instantly, and the action will be recorded in the history.

This option is only available for hybrid policies that also view positive and negative overtime separately.
