How do I manage the policies I've created?

Once you have created one or more overtime policies, you can manage them from Configuration >> Time management >> Compensation.

Click the quick actions button (three dots) to access a menu with all the available options: preview, edit, duplicate, set as default, view assigned employees, archive, or delete.

Preview

Opens a summary of the policy configuration: compensation mode, calculation, overtime, periods, and visibility. It is the quickest way to check how a policy is set up.

Edit

Takes you back to the creation window so you can modify whatever you want: general information, calculation and management, overtime, periods and expiry, visibility and access, notifications.

If the change affects the calculation, the system will generate a new version of the policy. However, if it is a "minor" adjustment, the change will be recorded in the history. See this article for more information.

Duplicate

Creates an exact copy of the policy so you don't have to set up from scratch a policy very similar to one you already have. When duplicating, the system will ask you to name the copy, and you will need to assign the employees or entities you want (original assignments are not carried over).

Use this function to create a policy with the same calculation configuration, but for a different workplace.

Set as default

Turns a policy into the one that is applied automatically to any new employee or any employee without an explicitly assigned policy. If another default policy already existed, it stops being the default as soon as you confirm the change.

Bear in mind that there can only be one default policy.

View assigned employees

Opens the list of employees, groups, workplaces, departments, or companies linked to this policy. It is the most direct way to check the actual scope of a policy before modifying or archiving it.

If you need to change who is assigned, you can do so from here. See this article for more information.

Archive

Removes a policy from circulation without deleting its history. When archiving it, the system will ask you to set an end date for the policy; that is, the date from which it stops applying.

Archiving a policy unassigns the employees who had it assigned, so check carefully before confirming who will fall under the umbrella of the default policy.

You cannot archive a default policy.

Archived policies are stored in Configuration >> Time management >> Compensation >> Archived. From there, you can restore them at any time. However, you will need to reassign employees, workplaces, departments, etc., as the system does not recover the assignments it had before being archived.

Delete

This action permanently deletes the policy. As with archiving, a default policy cannot be deleted.
