What is the AI shift planner?

The AI shift planner is a chat panel that appears on the left side of your timetable. From there, you can give it instructions in natural language to build or adjust the schedule according to what you ask.

 

How to access it

Open the timetable you want to manage and click "Plan with AI". The chat will open on the left side of the screen.

What you can ask it to do

  • Assign previously created shifts to the employees in the timetable.
  • Cover defined coverage requirements by finding available employees for each shift.
  • Edit or delete existing assignments through simple instructions.
  • Import a timetable from an external file (more information in this article).

What the AI takes into account when making proposals

Before proposing an assignment, the AI cross-references several sources of information for each employee:

  • Schedule type: whether the employee works fixed or flexible hours, to determine whether they can take on the proposed shift.
  • Holidays and days off: checks the employee's calendar to avoid assigning them a shift on days when they are unavailable.
  • Hours worked in the month: checks the hours accumulated since the start of the month to help achieve a more balanced distribution of workload.
  • Minimum coverage: if you have defined how many employees you need per shift and day, the AI will try to meet that requirement in its proposal.
  • 12-hour restriction: it will not propose a shift to an employee if at least 12 hours have not passed since their previous shift ended.

 

All AI proposals are created in Draft status. Review them before publishing, you can edit, complete or discard any suggestion.
